Temporary closure notices customers can act on
Put the closure date, affected location, and next step at the beginning of your message. Customers should be able to decide whether to change their plans after reading the first sentence.
Include four details
- What is closed: name your business or the affected location.
- When: give the date and hours, not just “today” or “tomorrow.”
- What happens next: provide a reopening time if confirmed, or say when you will share another update.
- What customers should do: explain whether they need to reschedule, wait, or contact you about an existing order.
Give a short reason if it helps. Avoid making a reopening promise while you are still waiting for a repair, inspection, or staff availability.
Planned closure for maintenance
Replace every bracketed detail before sending this example.
Subject: [Business] closed [date] for maintenance
[Business] at [location] will be closed on [date] for maintenance. We expect to reopen on [date] at [time]. If you have an order or appointment during the closure, contact [contact details] so we can arrange the next step. Thank you for your patience.
If you operate one location, keep its familiar name in the message. If you operate several, specify which one is affected so people do not assume every location is closed.
Unexpected closure with no confirmed reopening time
Subject: [Business] closed today, [date]
[Business] is closed on [date] because of [brief reason]. We do not yet have a confirmed reopening time. We will share another update by [date and time]. For an existing order or appointment, contact [contact details]. Please check for an update before travelling.
Choose a follow-up time you can keep even if nothing has changed. A short “still closed; next update at…” message is more useful than an estimate you cannot support.
Reopening notice
Subject: [Business] reopens [date] at [time]
We are reopening at [time] on [date]. [Mention any temporary changes to hours or services.] Thank you for your patience during the closure. For questions about an affected order or appointment, contact [contact details].
Check the date, time, and services against the actual reopening plan. Remove any closure signs and update the public places where you posted the earlier notice.
Reach regulars and people finding you for the first time
Send the notice to customers who opted in to updates, and put the same information on your door, website, and relevant public profiles. A subscriber message cannot reach people who have not joined your list.
For Google Business Profile, Google recommends special hours for closures of seven days or less; longer closures use the temporarily closed status. Check Google’s current closure instructions when updating your profile.
Build the route before the next closure
